Privacy notice

This explains what I do with your personal information, why I need it, how long I keep it and what you can ask me to do with it. It is written to be read rather than to cover me, so if anything here is unclear, ask.

Who I am

Amber’s Paws & Pastures is a pet and horse care business based in Newton Abbot, Devon. Amber Louise Hurden, trading as Amber's Paws & Pastures is the data controller for the information described here, which means I am the one responsible for it.

The chat on this website

When you start a conversation on this site, the first replies come from an AI assistant, not from me. It asks the questions I would ask, such as what animals you have and what you need and when, so that when I pick it up I already understand the job.

I read every conversation myself and reply personally. The assistant does not make decisions about your booking and it does not have access to your existing records.

What you tell the chat is used for one thing: arranging your booking. It is stored so that I can read it, reply to you and set up the visit, and nothing else. It is not used to advertise at you, it is not sold, and it is not pooled with other businesses.

Please do not type anything into the chat that you would not want kept, such as bank details, passwords, or the code to your alarm. There is a time and place for those, and it is at the meet and greet, in person.

The chat is run for me by Second Pair Ltd, a company registered in England and Wales, company number 17453965, and registered with the Information Commissioner’s Office under reference ZC241583. That registration is theirs, not mine.

The chat sets no cookies. It uses browser storage only, and only to remember how the chat is being used, never to identify or track you, and never across other websites.

On this site it uses sessionStorage, which your browser clears the moment you close the tab, for two things: whether the chat panel is open, and whether the opening message has already been shown. The chat panel itself is served from second-pair.com and uses localStorage to hold a randomly generated conversation reference, so that your conversation is not lost if you refresh the page. That reference is a random value, it is specific to this business, and it contains nothing personal.

What I collect

  • Your name, phone number, email address and postal address
  • Details about your animals: names, ages, breeds, medical conditions, medication, temperament and routine
  • Your vet’s name and contact details
  • An emergency contact, so somebody can make a decision if you are unreachable
  • Access arrangements: whether I hold a key, key safe codes, alarm codes
  • Booking dates, notes from visits, and photographs taken during them
  • Our conversations: chat, email, text and notes from phone calls
  • Payment records

All of it comes directly from you, through the chat, by email or phone, or at the meet and greet.

Why I need it, and what allows me to hold it

All of it comes down to arranging and delivering bookings, keeping the records a business has to keep, and getting your animal treated if something goes wrong. I do not profile you, I do not use your details for anything you did not come to me for, and I run no advertising that depends on them.

Photographs

I take photographs of your animals on visits and send them to you, because people like knowing how their dog got on. Those are yours.

If I ever want to use one on the website or on social media, I will ask you first, and you can say no without it making the slightest difference to your booking. I will not post pictures that show the inside of your house, your number plate, or anything that identifies where you live.

Who else sees it

  • Your vet, if your animal needs treatment while in my care
  • The companies that run my systems: Second Pair Ltd, which runs the chat; my email provider; and the company that hosts this website. They process it on my instructions and cannot use it for anything of their own
  • A weather service, which the home page asks what the weather is doing in Newton Abbot. It is told nothing about you, not who you are and not where you are
  • My accountant, for tax records
  • My insurer, if there is a claim

That is the whole list. I do not sell your details, I do not pass them to marketing companies, and I do not share them with other clients.

Where it is kept

My email is hosted in the European Union, and this website is served from servers in the UK and EU.

Chat conversations are stored in the United Kingdom. The application runs in Vercel’s London region and the database is hosted by Supabase in London.

Second Pair Ltd uses these companies to handle parts of a conversation on its behalf: Anthropic, which generates the assistant’s replies; Resend, for email; Twilio, for texts and calls; and Amazon Web Services, for incoming email.

How long I keep it

  • Enquiries that do not become bookings: twelve months, in case you come back
  • Client records: for as long as you are a client, and then six years, because HMRC requires it
  • Keys, key safe codes and alarm codes: keys are returned and codes deleted as soon as you stop being a client, or sooner if you ask
  • Chat conversations: if a conversation never leads to a booking it is deleted twenty-four months after the last message. If it does lead to one, it is kept as part of my record of the work carried out. Your contact record goes once nothing of yours remains
  • Photographs: deleted on request, and not reused without asking

Keeping it safe

Keys are labelled with a code, never with your name or your address, so a lost key cannot be matched to a house. The keys themselves are kept in a locked box at my house. Access codes are kept apart from them, in a secure folder on my devices, so that neither one is any use without the other. My phone and laptop are locked and password protected.

What you can ask me to do

You have the right to:

  • Ask for a copy of what I hold about you
  • Have anything wrong corrected
  • Have it deleted, where I am not required to keep it
  • Ask me to stop using it for a particular purpose, or restrict what I do with it
  • Object to my relying on legitimate interests
  • Ask for it in a portable format

Cookies

This site sets no advertising cookies and does no tracking. The visitor statistics I use are cookieless and cannot identify you, which is why you are not being asked to click a consent banner. The chat sets no cookies either. What it does store on your device is described under the chat on this website above.

If you are unhappy

Tell me first. Most things are a misunderstanding and I would rather fix it. If that does not resolve it, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. You do not have to come to me first, but I would appreciate the chance.

Changes to this notice

If I change how I handle your information I will update this page and change the date at the top. If it is a significant change and you are a client, I will tell you directly rather than expecting you to notice.
